AIWheelTech / Back office
The back office

The part that replaces the paper diary.

The AI sells at the front. Behind it is a working shop system: the diary, the jobs, the stock, the invoices and the supplier prices. It is included with the website, branded as you, and open in the demo without a login.

Run the day

Diary, jobs and customers.

Bay diary

Every bay, ramp and test lane has its own diary. Online bookings land in it directly, so a slot offered on the website is a slot that is free.

Job board

Jobs move from booked, to in the bay, to ready for collection. The dashboard shows what is in the bays now and what is next.

Customers and vehicles

Each customer has their vehicles, job history and invoices. With customer accounts they log in to see the same record and rebook.

Technicians

Jobs are assigned to a technician, and the diary shows who is on what.

Leads and enquiries

Every enquiry from the site and every conversation Ally has lands in the CRM as a lead, with the vehicle and the quote attached.

Alerts to a phone

New enquiries, missed calls and low reviews are pushed to the phone of whoever needs to act on them.

Money and stock

Invoices, stock and supplier prices.

Invoicing and payments

Invoices are raised from the job or the order. Payments are recorded against them and unpaid invoices are listed on the dashboard.

Stock ledger

Stock by line and by location, with low-stock alerts and a reorder list ready for the morning supplier call.

Pricing engine

Margin rules per brand and per customer tier turn a supplier cost into retail, dealer and partner prices.

Daily wholesaler feeds

Tyre wholesalers’ price and stock files are loaded every day: more than 37,000 supplier lines today. Each tyre is priced from the cheapest supplier with stock.

Who to order from

For every tyre on an order the CRM names the cheapest supplier that can fill the whole quantity, and the shortfall if none can.

Supplier price lists

Wheel supplier price lists and stock files are imported per brand, and new sizes are staged as drafts until they have been checked.

Data and marketing

The parts a diary never had.

DVSA MOT history

Expiry, every past test, advisories and mileage from a number plate, from the official DVSA record.

Fitment data

3,694 vehicles across 153 makes: 1,880 live in the selector and 1,814 researched by Torque and in review. A car a customer asks for that is missing is flagged and researched.

Verified reviews

Customers review from a QR card. High ratings publish at once, low ratings publish after 48 hours whether or not they have been answered, and replies are drafted for you.

Gallery from a phone

Photos of finished work go from the workshop phone to the site, tagged and filterable.

Blog and local pages

Pages are written from completed jobs and orders, checked against what is already published so the site never repeats itself.

Analytics

Page views, click heatmaps, an SEO audit of every page and a log of which AI crawlers have read the site.

Straight answers

What it is, and what it is not.

Is the AIWheelTech back office a garage management system?
It covers the diary, job board, customers, technicians, invoicing, payments, stock, pricing and supplier feeds for a wheel, tyre or MOT business. It does not include technician time clocking, parts catalogue lookups or technical repair data, so a mechanical workshop that depends on those should run a dedicated garage management system and can add AIWheelTech tools to its website.
Does it connect to Xero, Sage or QuickBooks?
Not today. Invoices and payments are recorded in the back office, and there is a separate Accounts module that books supplier invoices from a photo and reconciles the bank.
Which tyre wholesalers are connected?
The system loads the price and stock file a wholesaler sends each day. Two UK wholesalers are loaded daily today, covering more than 37,000 supplier lines, and another supplier is added with a column mapping.
Can it run more than one site?
Yes. Several sites and stores are run from one console with one login, and they share the same catalogue, fitment data and customer record.
Which tier includes the back office?
Shopfront, at £249 a month, includes the diary, job board and customer records. Full, at £349 a month, adds invoicing, stock, the pricing engine, the blog and supplier feeds.
Can I try it before speaking to anyone?
Yes. The back office in the live demo at demo.aiwheeltech.com opens without a login and can be edited.
